Lund Gruppen, one of Europe’s oldest entertainment companies, has transformed its invoice processing with the implementation of eye-share Workflow Invoice, making the process more efficient and allowing employees to focus more on creating memorable experiences for their guests.
Efficient invoice process
Founded in 1895, Lund Gruppen operates some of Norway’s most popular entertainment venues, including Kongeparken amusement park, Lunds Tivoli, and Lund Gruppen Arrangement. With 1.2 million visitors annually, the company processes around 5,000 invoices each year.
“The invoices were spread across multiple locations and managed by many people,” recalls Kristian H. Rasmussen, Chief Accountant at Lund Gruppen. Rasmussen played a key role in the implementation of eye-share Invoice in 2009.
“Keeping track of paperwork from Lunds Tivoli, which travels 75% of the year, was incredibly challenging—almost impossible. Additionally, we have several employees who travel for weeks at a time to attend courses, conferences, and visit other amusement parks across the USA, Europe, and Asia, leading to a backlog of paperwork. Today, thanks to eye-share, people can approve invoices from anywhere in the world, and the system works seamlessly. The reminder function is particularly efficient; if you don’t handle your invoices promptly, you receive an email notification. The entire process has reached a completely new level,” Rasmussen explains.
Customization and flexibility
Eye-share’s commitment to tailoring solutions to their clients’ needs has been a significant advantage for Lund Gruppen.
“Eye-share has a great attitude towards customization. Many solutions on the market are rigid and don’t allow for adjustments, but eye-share is highly configurable, with consultants who can adapt the solution to our specific needs. If we want to make changes in the future, we know it’s possible,” Rasmussen notes.
Focus on continuous development
Rasmussen believes that Eye-share’s focus on continuous development is a key factor in their success, and Lund Gruppen plans to upgrade to the latest version of eye-share Workflow Invoice.
“We sought solutions that would streamline our operations and bring control and structure to our incoming invoices. Eye-share stood out on multiple levels. We’ve focused on improving our organization, and we appreciate Eye-share’s dedication to developing new and better solutions. Their commitment to customization ensures that the system can grow with us as our needs evolve,” Rasmussen says.
Lund Gruppen has 25 regular users of eye-share, all operating on Mac platforms.
“In 2013, when we changed our accounting system, we were offered a document center as part of the package, but we made a conscious decision to stick with Eye-share,” Rasmussen explains.
More time for what matters
With offices located within the amusement park Kongeparken, the spirit of fun is never far away.
“You could say that implementing eye-share Workflow Invoice has given our employees more time to play. They experience far fewer reminders, and everything is processed instantly within eye-share. The system is also easy to learn, requiring only basic training for new employees. The extensive user documentation further supports this, making eye-share feel like a solid, reliable product,” Rasmussen says.
Reducing Errors and Enhancing Security
Eye-share Invoice has significantly reduced the risk of errors in Lund Gruppen’s financial processes.
“Previously, one accountant had to manually enter data before it was sent to the bank. Now, invoices are scanned and interpreted automatically. If an error does occur, the system has built-in checks: two approvers and one accountant review the numbers, and if needed, two additional people verify the numbers at the bank. This means there are five layers of verification, drastically reducing the risk of errors. It wasn’t like this before; the risk of mistakes was much higher,” Rasmussen explains.
